Officer Job Descriptions and Term

President / Vice President – 2 years

  • Budget Oversight
  • Authorize non-recurring payments
  • Review quarterly reports
  • Work with families to approve submitted Architectural Improvements to homes as per neighborhood covenants
  • Work with each Board member to resolve conflicts and implement improvements to our neighborhood

Secretary – 3 years

  • Create posts on website of all homes for sale and purchased
  • Inform Sunshine/Welcome committee of homes sold and cause directory information to update
  • Oversee all neighborhood group correspondence via email and website
  • Send out Annual Fee Notice reminders via website, email and/or letters to all neighborhood families, per Treasurer
  • Keep accurate records & copies of all emails or correspondence to HOA
  • Keep meeting minutes of board meetings and post to website under appropriate category
  • Respond to emails to HOA Board from neighbors using Board approved email accounts
  • Content Owner for website areas: Announcements, HOA Treasurer Reports, Who We Are (Board), HOA Meetings and Newsletters, Covenants, Privacy Policy, Home Sales
  • All changes to the website structure require the approval of a second board member

Treasurer – 2 years

  • Pay all recurring neighborhood invoices and those approved by the President or Vice President.
  • Document dues payment from all 151 properties in Countrywood every year.
    • Record electronic payments and checks received. Copy checks in A-Z order and file per year with PayPal payments.
    • Ensure all payments are deposited and credited to each property in a timely fashion.
  • Provide check registry to accountant for annual tax return and file yearly taxes.
  • Maintain accurate income and expense reports. Provide each board member a monthly copy of each report.
  • Coordinate with Secretary to send out annual fee notice reminders via website, email and/or letters to all neighborhood families.
  • Submit quarterly reports to President and Vice President
  • Content Owner for website areas: HOA Treasurer Reports (coordinate publication with Secretary)

Welcome and Sunshine – 2 years

  • Welcome each new resident with gift bag consisting of loaf of bread from CafĂ© IZ, form with family info to complete for website and a sheet of pertinent information about our neighborhood and website
  • Reach out to all families in need, health issues, newborns, or other special occasions
  • Coordinate with street representatives for updates on our neighbors’ situations
  • Submit quarterly report to board members of activities
  • Respond to emails sent to the HOA Board about neighborhood concerns
  • Create and distribute monthly newsletters and/or notices using website and appropriate mailing lists
  • Content Owner for website categories: New Neighbors, Announcements, Street Representatives, Welcome and Sunshine Committee

Entrance Way Manager – 2 years

  • Oversee property management at Rocky Ridge entrance to neighborhood
  • Manage contracts and correspondence with landscape and lawn vendors
  • Coordinate maintenance requests and property issues with vendors to resolve issues
  • Submit invoices to Treasurer for vendor expenses
  • Submit quarterly report to board members

Social Chair – 2 years

  • Plan 4-5 social events per year for neighborhood.
    • Two of these events are joint events with Countrywood Highlands
  • Submit budget for each event
  • Coordinate volunteers for social events
  • Coordinate notices and advertisement of these events to neighborhood using web site, email and printed media.

Technology

  • Maintain and manage Countrywood HOA website (https://countrywood35243.com)
  • Create and Manage databases of resident contact information
    • Maintain and manage publication of Neighborhood Directory
  • Manage electronic payment provider interfaces and integrate data with property database
  • Coordinate with content owners, creators and board members for website updates
  • Manage email accounts for countrywood35243.com domain
  • Manage web hosting providers, domain registration and SSL certificates
  • Manage website data security and data privacy
  • Provide training for board members to utilize website
