HOA Annual Board Meeting Minutes
Meeting Date: 1/25/2022
Attendance: James Saville, Joe Perez, Alan Anthony, Celia Anthony, and Carter Slappey.
- J Perez reviewed 2021 budget/actual and everything looked okay. Justin looking into elevated water bill late 2021.
- J Perez discussed 2022 budget and will be comparable to 2021 with little to no bad debts. Cash balances and dues amount remain appropriate.
- C Anthony met with city and county to discuss curb/drain repairs. Determined it was a city issue with timeline for repair TBD. Sod repaired by Cater temporarily with more permanent remedy (more significant curb, boulders, etc) discussed upon next occurrence. A Anthony to follow up with engineer re: radius decrease/wider shoot
- C Slappey presented new owners dating back to March 2020. Contact information updated with exception of one and lacking a couple phone numbers which have been requested. J Saville to assist with more dynamic spreadsheet master vs street specific etc driven by property address.
- Cx Christmas front porch decorating contest. C Slappey to request involvement from younger neighbors. Amy Polcari mentioned.
- Cut through to Rocky Ridge/sidewalks was discussed. C Slappey to appropriately follow up with J Black and encourage him to run parallel on Walk to School initiative and sidewalk committee project (K. Cook city council)
- Issues Discussed: BB guns along power lines, speeding, loud music, parking on street

Annual HOA Meeting Minutes
Dear Countrywood Neighbors,
The annual Homeowners Association meeting was held Tuesday, January 26. All board members were present. Michael Glanzer presided at the meeting, and minutes were kept by Celia Anthony *.
Introduction of HOA Officers– Michael Glanzer, President; Alan Anthony, Vice-President; Joe Perez, Treasurer; Justin Allred, Entranceway; James Saville, IT /Website; Celia Anthony, Sunshine Committee
* Immediate Need– Our Secretary position is vacant. If you are knowledgeable in Excel or Google documents, we need you! This position can be a male or female, young or old! The main responsibility of secretary is keeping our master list for the treasurer and keeping our annual meeting minutes. It is not a difficult position, and requires only a few hours quarterly, but keeping this information up to date it vital to our organization. Please consider volunteering!Actions taken:
Treasurer Reports, Joe Perez– The budget from previous year was reviewed, and a proposed 2021 approved. As of Jan 26, 139 homeowners had paid dues. Second notices were sent Feb 1, and as of today 2/26 we have 144 paid members. The new 2021 budget was set for $10,052. Approx. $1,600-2,000 of budget goes to social functions, and the remaining budget is for maintenance of entranceway, utilities, insurance and taxes.
Entranceway Improvements, Justin Allred – Board discussed adding new lighting to entranceway. Either gas or electric lanterns on brick post will give a more established look. Our new landscaping & irrigation should improve plants for this year. Also, we are researching new options for Christmas decorations. These will be commercial grade greenery & lights, and company will install and store decorations throughout year.
Website, James Saville – We are looking to improve our website. www.countrywood35243.com. We would like to add a tab for business owners in our neighborhood to list their contacts. Or give local referrals to neighbors- such as painting, landscaping, etc. Our neighborhood covenants can be found here also, if you questions about set backs, fencing, additions, etc. Lastly, Vestavia City links are here. Trash and animal control are commonly asked questions.
Social Events 2021, Celia Anthony –- March- We need persons to help plan our annual Easter Egg Hunt tentatively set Saturday, March 27. Date is Flexible.
- April & May – Creating a high school Graduating Seniors list and helping get our signs in yards.
- Summer- End of School Popsicle Party or July 4th party.
- August- The Kindergarten Party which will include establishing a master list and getting our signs in yards.
- October- Halloween Parade.
- December- Christmas Caroling & Door Decoration Contest.
- New item- helping coordination our white trees in yards for Christmas.
Without volunteers these events cannot be planned. Please help us keep our neighborhood connected. Contact the Sunshine Committee, Celia Anthony to volunteer to help plan one fun of these events. countryw…@gmail.com
Welcome to the neighborhoodHillary and Jay Tatum- 3407 Creekwood Drive. They are moving into the Heslin’s home at the end of Creekwood. Please stop by and welcome them into the neighborhood. Creekwood Drive has seen five new homeowners this year- Boyd & Melissa Kaiser, Jan and Andy Thrower, the Pearson and Freeman families. Welcome all!

PS… On a personal note, I want to thank the HOA Board for all their hard work. This is a volunteer group and all have families & jobs that kept them very busy as essential workers during the crazy Covid times. They made my job as Sunshine Committee easy! Please thank them if you see them out in neighborhood. It is a great group of men!

Our annual HOA meting was held Monday, January 27th. All board members were in attendance. Minutes from meeting:

(*Immediate Need- IF we cannot get a person or a small 2-3 committee to be our Social Chairman, to plan & implement social events for the year, we will have to consider eliminating these events even if items are in the budget. This person could be the second Sunshine HOA and head social events only.)
Review of HOA Survey Results–
62 Homes participated
Item 1- Activities to Continue/ Activities with the Highest %- Christmas Activity (50%), Kindergarten Party (53%), Fall Festival (53.2%), Easter Egg Hunt (40.3%), Military Bow (45.2%) *see important information below regarding future social events
Item 2- Three activities need to be cut due to low funds. The three activities will be July 4th Parade (24.4%), Halloween Parade (11.3%0, and End of School Popsicle Party (9.7%)
Item 3- Christmas Decorations- Top two responses- 53% liked small White trees in yards and 15% like red bows on mailboxes
Item 4- Christmas participation- 59% will participate in any neighborhood decoration
Feedback for HOA- *Top 4 Responses –
- Speeding & running stop signs,
- Noise (especially yard equipment or construction) early or weekends,
- Dogs not on a leash,
- Adding street lights to make neighborhood safer
Actions taken by HOA for the *Top 4 feedback requests–
- Vestavia Police requested for more patrol, and we have filled an action report with the city engineer to discuss additional stop signs or speed bumps.

- Mike Steppe has agreed to contact Alabama Power and get specifics for adding street lights.
Budget was approved for 2020. Budget was set for $10,988.04 (151 home @ $75= $11, 325). Approx. $1,600-2,000 of budget goes to social events, the rest is spent on our entranceway. If you would like a full budget, please contact Joe Perez. Joepa3476@bellsouth.net. Last year we had 8 families who did not pay dues. This deficit forces HOA to cut items to provide necessary repairs & maintenance for our entranceway. We need every home to participate in HOA dues. As of Feb 1, we are missing 14 homes. Second notices will be sent this week.
Entranceway Updates/Improvements– we are getting pricing for an improved sprinkler system with more zones and plan to replace a few of the plants lost in the drought last year.
